What church check-in software does on Sunday morning

A children’s hallway gets loud between the first song and the sermon. Parents are handing over a toddler, a teacher is looking for a name, and someone at the door is trying to remember who is allowed to pick that child up. Church check-in software gives that moment a simple record: the child, the room, the allergy note, and a code the parent keeps until pickup.

The same desk can also check people into the service or an event from a printed code on a card, and it shows how full each room is before a family reaches the door. The nursery path and the service path stay in one church account, so a volunteer is not learning a second login for the lobby and a third for the classroom. Staff already keep the family in the directory. Check-in reads that record instead of asking the parent to write the same phone number on a card every week.

How a volunteer runs the door

Before Sunday, a children’s leader adds rooms such as the nursery and the preschool class, each with an age range, a capacity and a location in the building. Children and the adults allowed to pick them up are people already in the directory. An allergy or a note on the child’s record is there when the teacher needs it, not buried in a binder in the office.

At the door, the volunteer checks the child into a room. ChurchConnect creates a six-character security code for that visit and the parent takes it with them. At pickup, the person at the door enters the code. The child is released when the code matches the one given at check-in that day. A code from an earlier Sunday does not match, so a child is not released to whoever happens to be standing at the classroom door. If a family has no phone, the same screen can register the child by name. A history of the day’s sessions is there if a parent calls the office later and asks what time their child was picked up.

Who it is for

It is for the nursery volunteer who is there one Sunday a month and should not have to invent a system. It is for the children’s director who wants every room’s count without walking the hall with a clipboard. It is for the pastor who wants a first-time family to feel that the church knew their child’s name and their allergy, not that the church hoped a paper card survived the offering plate.

A small church can run this with the people it already entered. If you also print a code for the sanctuary door, that service check-in lives beside the children’s rooms. The member directory holds the family, event registration covers a retreat, and room booking reserves the classroom.

What you get

  • Check-in for each child from your directory.
  • Allergy notes shown on the child’s check-in so teachers can see them.
  • Authorized guardians listed for each child.
  • A six-character security code given to the parent at check-in.
  • Checkout that needs the matching code for that day.
  • QR codes you can print so people check into a service or event from their phone.

How it works

  1. Add the children and their guardians to your directory.
  2. At the door, check each child in and hand the parent the security code.
  3. At pickup, enter the code. The child is released only when it matches.

Questions people ask

What is church check-in software in ChurchConnect?

It is the children’s check-in desk and service check-in. A volunteer checks a child into a room, sees allergy notes, and gives the parent a six-character code that must match at pickup. People can also check into a service or event from a printed code.

Does the pickup code change every week?

The code is created for that check-in. Pickup that day asks for the matching code. A code from another visit does not release the child.

Can we check in a child who is not in the directory yet?

Add the child and the guardians to the people directory, then check the child in. The directory is where the allergy note and the authorized adults live, so the next Sunday starts from that record.

Where does an allergy note show up?

On the child’s record and on that day’s check-in. The teacher sees the note at the door, next to the room and the pickup code.
